Invoices, credit notes and VAT
On every plan
Every payment that charges money gets an invoice. It goes by email to the billing email, and admins find every invoice and credit note under Settings › Plan and billing. Prices exclude VAT. The billing country and the VAT number decide whether an invoice adds Finnish VAT or none.
Find an invoice
Open Settings › Plan and billing. The Invoices section lists the invoices and credit notes, newest first, with the number, the date, the document and the total. When the list is longer than the page shows, All invoices opens all of them. The list stays after a paid plan ends.
Select a number to open the invoice. Only admins can open it. Each invoice also goes to the billing email, and that email holds the whole invoice, so whoever reads the address can keep it without an account.
Which payments get an invoice
An invoice is made when a payment that charges money goes through: the first payment, each renewal, a retry after a failed payment, a payment made with Pay now, and the final charge after a cancel. Changing the card charges nothing, so it has no invoice. A payment that fails has none either.
What an invoice shows
- Its number and date. The numbers run in one series, with no gaps.
- The seller's name, address, business ID and VAT number.
- The buyer's name, address and country, and the VAT number if you gave one.
- One line for each item, with its period, quantity, unit price excluding VAT and net amount: the plan, the domains above the included ones, domains added for the rest of a period, and a move to a higher plan.
- With Finnish VAT, the total excluding VAT and the VAT rate and amount. Then the total.
- The day it was paid, and the card it was paid with.
- When there is no VAT, a note that says why.
Dates on an invoice are in Finnish time. An invoice never changes once it is made: a later change to the billing details applies from the next invoice.
Print it or save it as a PDF
Open the invoice and select Print or save as PDF. Your browser's print dialog opens, where you can print the invoice or save it as a PDF.
Change the billing details
The checkout asks for the billing details the first time you pay. To change them while your organization pays for a plan:
- Open Settings › Plan and billing.
- In Card and billing details, select Change billing details.
- Change the name, the address, the country, the VAT number, the billing email or Invoice language.
- Select Save billing details.
The change applies from the next invoice. Invoices already made keep the details they were made with. Invoice language sets the language of the invoices and of the emails that carry them. At the checkout it is the language of the admin who pays.
When VAT is added
Prices exclude VAT. The billing country and the VAT number decide what an invoice adds:
- Finland, Åland included: Finnish VAT at 25.5 percent.
- Another EU country, with a VAT number that VIES confirms: no VAT. The invoice shows your VAT number and the note "Reverse charge", and you account for the VAT in your own country.
- Another EU country, without a VAT number that VIES confirms: you cannot buy a paid plan, and a renewal fails until the billing details have such a number. The checkout asks for one and shows the bill once VIES confirms it.
- Outside the EU: no VAT. The invoice notes that the sale is not subject to Finnish VAT.
VIES is the EU's service for checking VAT numbers. The bill at the checkout says which case applies, and why, before you pay.
Your VAT number
A VAT number changes the VAT only for a business in another EU country, and there it is needed. Type it with or without its country prefix. Spaces, dots and dashes do not matter. We check it with VIES when you enter or change it, and again before each renewal.
- If VIES cannot be reached at the checkout, you cannot pay yet. Wait a few minutes and select Check the VAT number again.
- If VIES cannot be reached before a renewal, its last answer counts.
- If VIES stops confirming the number, the renewal fails and nothing is charged. Every admin gets an email that says why, and so does the billing email. Each later attempt asks VIES again. To pay sooner, save the number, or a new one, under Change billing details. VIES checks it when you save, and once it confirms the number, Pay now charges the period with no VAT.
Credit notes and refunds
When we refund a payment, in full or in part, a credit note credits its invoice. It has its own number in the same series, names the invoice it credits and shows negative amounts. It goes to the billing email and is listed with the invoices. The refund goes back to the card the payment was made with. A refund does not change the plan.
The payment terms say when we refund.
